Information we collect
We collect three main categories of information:
- Account & workspace information: Name, email address, password (hashed), workspace name, role, billing contact, and payment details processed via third-party providers.
- Content you provide: Documents, contracts, files, and their metadata (filenames, timestamps, tags, folder structure), plus AI analysis results.
- Usage & device data: Log data (IP address, browser type), feature usage telemetry, and approximate location for security.
How we use your information
We use your information to:
- Provide and maintain the service: Host your workspace, store documents, run AI analysis, and authenticate users.
- Improve Serpens Docs: Understand feature usage, diagnose bugs, and develop new capabilities.
- Protect security & prevent abuse: Detect suspicious activity and investigate misuse.
- Communicate with you: Send transactional emails and product updates (which you can opt out of).
AI, training, and model usage
Your documents and analysis results are used to provide the service to your workspace. By default, we do not use your private documents to train third-party foundation models outside of your environment.
We may use anonymized, aggregated metrics to improve our models. Optional features using data beyond your workspace will be clearly labeled and opt-in.
Data retention
We retain your data for as long as your account is active. When you delete a document, it is removed from active systems, with residual copies remaining in encrypted backups for a limited disaster recovery period.
Sharing your information
We do not sell your personal information. We may share information with service providers (cloud hosting, payment processors), workspace collaborators you invite, or for legal and safety reasons.
International transfers & data residency
We use regional data centers and support hybrid deployments where document payloads remain in your local environment. Data transfers rely on legally recognized mechanisms.
Your rights & choices
Depending on your location, you may have rights to access, correct, delete, or port your data. You can control email preferences and delete your own documents.
